Crafting a tailored, stress-free journey takes time, often 30 hours or more, and our service continues long after your trip is booked. From handling logistics to fine-tuning the details, we’re with you every step of the way. Just like hiring a personal expert, whether it's a landscape designer, attorney, or consultant, a planning fee reflects the level of professional insight, time, and attention we devote to crafting every detail of your journey. Those who travel with us know that a truly unforgettable vacation doesn’t happen by chance—it’s carefully and thoughtfully designed.
The sooner, the better! We recommend reaching out at least 6 months before you want to travel. For major trips, or extensive international adventures, 9–12 months is ideal. We can occasionally accommodate last-minute trips, but planning less than 30–60 days out requires an expedited fee, and options will be more limited.
While many clients prefer to book flights themselves for flexibility, we’re happy to guide you. Some of our travel partners bundle international flights into your itinerary, which we handle. For certain trips, we also have access to an air desk and can book flights for you for an additional fee—whatever makes it easiest for you.
Each of our partners has its own cancellation policies, which we’ll share when you receive your proposal. Flexibility often depends on how close you are to your departure date. We'll include any applicable cancellation or change policies in your proposal, so you’ll have all the details upfront. Please know that our planning fee is nonrefundable, as it covers time and services already invested in your trip.
We keep communication simple and seamless. Email is our preferred way to collaborate—it keeps everything organized and gives us both a record to reference. We typically reply within two business days. If a conversation would make things easier, we’ll send you a link to schedule a call at a time that suits you best.
When possible, yes. However, many of our partners offer bundled rates that don't break down by component. These exclusive rates help maintain preferred pricing. We’ll always be transparent about the total cost so there are no surprises.
We specialize in full, start-to-finish journeys. Booking only one component can lead to gaps or inconsistencies we want to help you avoid. Our goal is to ensure your experience is seamless and worry-free from beginning to end.
Absolutely. Travel insurance protects you from unexpected delays, cancellations, medical issues, and more. We partner with top insurance providers and can send you quotes through RoamRight, Travel Guard, or Allianz. Most insurers require you to purchase coverage within two weeks of your initial deposit to get full benefits. (Please note: policy-specific questions will be directed to the insurer.)
In many cases, yes! Many of our partners allow for deposits followed by scheduled payments. We'll go over your specific payment options before any bookings are finalized.
No problem—travel dreams can evolve! If you decide to head in a different direction after planning has begun, we’re happy to pivot. A new planning fee will apply to cover the additional time and resources needed to rework your journey.
